Privacy policy

Maughan Consulting, LLC (“we”, “us”) builds and runs automations for businesses. This policy explains what personal information we handle on this website, in our client portal (app.maughanco.com), and in the automations we run for clients, and what we do with it. Questions: [email protected].

This website

The website uses no analytics, advertising or tracking cookies. Our hosting provider keeps standard server logs (such as IP address, browser type and the page requested) for security and reliability, and deletes them on its own schedule. If you email us, we use your message and contact details to reply and to arrange any work, and keep them as business records.

The client portal

The portal is for people at our clients' businesses whom the client has asked us to give access. When you sign in:

• Sign-in. You sign in with your work account through Google (through our sign-in provider, WorkOS). We receive your name, email address and, if your account has one, profile picture. We never see or store your password.
• Account. We keep your name, email, which client you belong to, your role, and when you last signed in.
• Requests you send. Feedback and requests you send (from the portal or the Feedback button in your company's software) are stored with your name and where you sent them from, so we can act on them and show you their progress. Voice notes are sent to Google's Gemini service to be turned into text; the recording itself is not kept.
• Cookies. We use only the cookies needed to keep you signed in and remember your display preference (light or dark theme).

Data we process for clients

When we run automations for a client, we process the client's data on the client's behalf and under our written agreement with them, which governs over this policy. Depending on the automation this can include business records such as property addresses and form fields, plus the reviewer's decisions on what the automation produced. We use it only to provide the agreed services: we never sell it, share it with other clients, or use it to train AI models. We do not receive new kinds of data (for example photos) without the client's written approval.

Service providers

We use these providers to run the website, the portal and client automations. Each processes data only to provide its service to us.

How long we keep it

• Automation run records (timing, status, cost) are kept for billing and history. After 12 months the detailed per-step working data is cleared; the run and its cost are kept.
• Workflow engine logs: 90 days.
• Portal accounts: until the client asks us to remove you, or the engagement ends.
• When an engagement ends, or on request, we delete the client's data within 30 days, except records we must keep by law (such as invoices).

Security

Connections are encrypted (HTTPS). Access to the portal requires sign-in, and each person sees only their own company's information. Keys and passwords for the services we use are stored in the hosting providers' secret stores, never in code. If we learn of unauthorized access to your information, we will tell the affected client without undue delay.

Your choices

You can ask us what personal information we hold about you, to correct it, or to delete it, by emailing [email protected]. If your information came to us through your employer's account with us, we may need to check with them first. We respond within 30 days.

Children

Our services are for businesses and are not directed to children under 16.

Changes

If we change this policy we will update the date above, and tell clients directly about any significant change.
